Inside a headspace intake worker’s day: from paper chaos to mental health software clarity

Priya arrives at work Monday morning to find seventeen new referrals waiting in her inbox. Three are scanned PDFs with illegible handwriting. Two are missing Medicare numbers. One is just an email saying, “please help this young person” with no forms attached.

By 11am, she’s already spent three hours chasing missing information, leaving voicemails, manually typing demographics into the system, and trying to determine which team should handle each case. All before she’s made contact with a single young person.

This admin marathon means young people like Aisha, who finally worked up the courage to seek help last week, will wait another day for their intake call.

What Priya doesn’t know is that across town at another headspace centre, intake worker Sarah is having a completely different morning thanks to end-to-end mental health software…

The morning

Sarah opens MasterCare+ to find that Marcus, a 19-year-old who’s been struggling with depression, submitted his intake form via Digital Front Door at 11pm last night. All mandatory fields are completed and his mum’s input form is attached. Sarah gives him a ring to check a few details and assigns him to the youth mental health team for triaging.

Next is Amara’s referral from her GP – Medicare details verified, presenting concerns clear.

Then, Liam’s self-referral with family history included.

In twenty minutes, Sarah has processed what used to take hours of chasing and phone calls. Every referral arrives in one secure unified inbox, from GPs, faxes or online forms. Demographics pre-populate automatically, Medicare cards verify instantly, and mandatory fields on referral forms can be tailored to each team’s needs so clinicians get exactly what they need.

Instead of manually creating client records and typing in names, dates of birth, and addresses, Sarah can focus on getting young people connected to the right care quickly.

Midday

Sarah checks her MasterCare+ dashboard and sees Marcus has moved from “to be assigned” to “to be scheduled”, meaning the youth mental health team has triaged him and he’s ready for his first appointment. She calls him directly from his case file.

She can see which clinicians are available across the next two weeks and books Marcus into Dr Chen’s Thursday 2pm slot. An SMS confirmation goes out automatically, and the mental health software sends a templated letter back to Marcus’s referring GP confirming treatment. No back-and-forth emails between departments, no printed rosters to coordinate.

Then she notices Amara’s case has been updated to “additional triage”: the team needs more details before they can proceed. She calls Amara’s mum immediately.

An hour later, a notification pops up on her screen: another client, Max, hasn’t responded to his SMS appointment reminder from yesterday. Sarah calls to check he’s still planning to attend.

By lunchtime, she’s processed twelve referrals, booked six appointments across three different clinicians, sent GP updates, and followed up on non-responses without leaving her desk or losing track of a single case.

Towards tomorrow

As Sarah wraps up her day, she checks her MasterCare+ dashboard to plan tomorrow’s priorities. Three cases are approaching the 4-week wait threshold, so she flags them for action first thing. The average referral-to-first-appointment time is sitting at 12 days, and the missed appointment rate has dropped to 15% since the SMS reminders started.

When the quarterly PMHC reporting deadline comes around next week, all the referral data from today will already be captured in the mental health software’s customised reporting tool within.

Meanwhile, across town, Priya is still manually entering today’s referrals into spreadsheets, trying to track down where yesterday’s cases ended up, and wondering if she missed anyone who needed follow-up. Tomorrow, she’ll start with the same seventeen-referral chaos all over again.

For Sarah, tomorrow starts with a clear to-do list and prioritised cases. If you’re a headspace centre stuck managing paper chaos, there’s a better way.
